About the Role:
We are seeking a highly organised, proactive, and professional Executive Assistant to support our clients CEO on a temporary 4-week contract.

This role is ideal for someone with strong attention to detail and excellent communication skills, capable of managing multiple tasks and deadlines in a fast-paced environment.

Key Responsibilities:
  • Manage CEO's diary and inbox, scheduling meetings and ensuring timely responses.
  • Liaise with key external stakeholders to coordinate meetings and other communications.
  • Book travel arrangements for the CEO, Board, and Operations team via the Corporate Traveller portal.
  • Assist with Board support, including collating Board papers and preparing documents for the upcoming Board meeting on April 29.
  • Support the external Company Secretary with Board pack preparations and related tasks.
  • Coordinate with external invitees for Board meeting presentations, ensuring materials are uploaded to Diligent and sending Teams logins for remote participation.
  • Compile agenda items for meetings.
  • Facilitate CEO identification for legal agreements and add the CEO’s digital signature to approved documents.
  • Assist the Head of People, Culture, Safety & Operations Managers with Town Hall presentation preparation.
  • Manage weekly office grocery orders and stationery requisitions.
  • Submit CEO and EA corporate card expenses for processing.
  • Provide ad-hoc administrative support to the CFO and Finance team as required.
  • Perform additional tasks as needed to support the CEO and broader team.
Key Skills & Experience:
  • Proven experience as an Executive Assistant, Personal Assistant, or similar role.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to handle confidential information with discretion.
  • Experience in preparing Board papers and managing Board-level meetings is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and Diligent is preferred.
  • Ability to work independently and as part of a team, remaining calm under pressure.
